Solar Swim & Gym – Registration and Policies

Because we usually have a waiting list for our swim lessons and must use our time and resources wisely, it’s been necessary to put these policies in place. Thank you for your understanding.

Make-up Policy

If a student can’t attend their scheduled class, the student is allowed up to two (2) make-up classes per session. Each make-up class will incur an additional fee of $10. If a student misses the make-up class, we will not offer another make-up class. We will not offer any refunds for the missed class or make-up class.

If a student taking private lessons doesn’t show up for 2 consecutive days at the scheduled time, Solar Swim & Gym have the right to offer the missed time slot to another student. The student who missed a scheduled lesson will need to ask for other open spots.

If a student arrives at the facility sick or with COVID-19 symptoms, Solar Swim & Gym staff and instructors reserve the right to send the student home. If a student has a physical injury, upon request, Solar Swim & Gym will put the student account on medical hold until the student is ready to perform physical activity. In such cases, a doctor’s note is required.

Payment

All the lessons are non-refundable. Full tuition for a session must be paid at the time of registration. There is an annual $20 registration fee for each student. Tuition automatically renews and payment will be processed on the second-to-last Friday before the start of the next new session, unless we receive a written cancellation notice. If the tuition is not paid five days before start of the new session or without proper notification to Solar Swim & Gym, the student will be dropped from the class automatically and your account will be charged with $25 late/cancellation fees for each student. If a student cancels the classes after the payments are made but before the session begins, there will be a $25 cancellation fee for each student. Once the session begins, the full tuition is due and no cancellation or refunds are allowed.

For students who can’t pay the full renewal tuition before the start of the new session, a $50 holding fee and $20 registration fees are required to reserve a spot for the session. Solar Swim & Gym will then charge the remaining amount on the first day of the class. If the full tuition is not made by the start of the new session, an installment fee of $20 will be added to the balance for the session. If a student reserves a spot and doesn’t show up for the first class without informing the staff or instructor, the $70 fees paid will be forfeited and the student will be dropped from the class.

Cancellation

There is no cancellation policy for the group lessons. For private and semi private lessons, we require a minimum of 24 hours written notice. This includes illness. If less notice is given, a make-up class will not be offered. Under no circumstances are make-up classes rescheduled. Written notice of a cancellation must be submitted via google form Swim Lessons Cancellation Request Form or e-mail to solarswimoffice@gmail.com

The deadline to submit the non-renewal of your group lesson session at Solar Swim & Gym is on second-to-last Thursday before the next new session begins. If we do not receive proper written notice of non-renewal of if the cancellation request is recieved after the deadline has passed, $25 per student fees will be assessed under your account for late cancellation. Full registration is due for classes cancelled after the session has began. For the non-renewal of private lessons, please notify us by the 3rd class.

Solar Swim & Gym has the right to cancel group classes if there are less than 3 people enrolled.

Attire

We require swimsuits or swim shirts for all lessons. A reusable swim diaper is required for swimmers who are not fully potty trained. Cotton T-shirts or jeans are not allowed in the pool. Towel and goggles are highly recommended.

Other

Parents aren’t allowed to sit on the pool deck area.

We do swim lessons in rainy weather. However, we will cancel lessons in the event of lightning and a thunderstorm. If that happens, staff will call you and offer a make-up lesson.

If you would like to enroll a student in a current session that has already started, you must call Solar Swim & Gym to determine the appropriate class level. In this case, you may not register the student online.
